Procedures

Telephone Calls
Please allow 24 hours for non-urgent phone calls. Our physicians usually return calls at the end of their day. If you are calling regarding an emergency or an urgent matter, please inform the receptionist. This will greatly help to expedite resolution of your call.
Prescription Refills
Please allow 24-72 hours for your prescription to be refilled. If possible, we ask that you call your pharmacy for the refill. They will fax or electronically send your request via Surescripts to our office. Please note that if a medication needs prior authorization, it may take up to 5-10 business days to fulfill this request. We suggest you call for your refill a week before your medication runs out so that our office has the time needed to fulfill your request. If your request is time sensitive, please notify the staff so we can help in expediting your refill.
Referrals

Please allow 24-48 hours for any referrals needed. It is the responsibility of the patient to know if your insurance requires a referral to any specialist. Please note, that if a specialist visit has to be backdated for a referral, there is no guarantee that your insurance provider will cover the services. Please notify us as soon as you’ve booked the scheduled appointment so we can obtain the referral.

When calling for referrals, please notify the receptionist of the following information:

  1. Specialist Name
  2. Date of scheduled appointment
  3. Insurance Company and Member ID
Credit Card on File

Due to an increase of unpaid debt over the years, as of March, 2014 our office requires a credit, debit, HSA or FSA card left on file. At the time of your visit, you will be asked by one of the staff members at the front desk for a credit card. This information is NOT kept in our office, but entered into a secure gateway with Fattmerchant, our credit card processor. Once this information is entered into their database, we are only able to see the last four digits of your credit card number.

We have adopted this policy along with many organizations across the country for a few reasons, such as keeping patient accounts in good standing, avoiding having to send patient’s to our collections agency and to become more economically friendly by using less paper. **Patient Statements**
As of April 1, 2019, we will no longer be mailing paper statements unless otherwise specified. If a credit card has been left on file, the card will be charged as per our agreement that was signed during the time of your visit.
